Add a Resource Assignment

Prerequisites

  • Define your work packages for the control accounts with start dates, end dates, and durations. See Define Work Packages.
  • You have defined the resources you intend to assign to a work package in the project's resource structure. See Add Resources.
  • When you added user defined codes or fields to the project's resource structure, ensure the applicable project level resource filters or available resources have been set. These project level settings control the Resource dropdown. See Set Project Resource Filters and Set Project Available Resources.

The following steps assume you are using the Standard View Ribbon Menu option.

  1. Select Home > Earned Value in the Navigation Menu. The main EVMax window displays.
  2. Select your project from the Project dropdown in the Ribbon Menu.
  3. Expand the WBS hierarchy as needed to view the work packages.
  4. Select the work package row in the top pane.
  5. Select the Resources tab in the bottom pane. The left pane displays the Budget, Earned, Actuals, and Forecast tabs, the Budget tab is enabled with a list of the resources assigned to the work package. In the right pane, the Add Resource tab is enabled.
  6. In the right pane, Add Resource tab, select the Resource from the dropdown. The dropdown displays the project's resource structure hierarchy row and column grid view for you to select the resource you want.

    Tips:

    You can apply filters in the resource structure columns to find a resource. Right click in the applicable column heading cell and click Filter Editor... to display the Filter Editor dialog box. Enter your filter settings and click Apply. The filter settings display at the bottom of the selection window. To clear the filter, right click in the applicable heading cell and click Clear Filter.

    Be sure to select the lowest level resources in the resource hierarchy that have defined rate calculations. When rate calculations are missing, direct costs or indirect costs aren't calculated.

    Match the resource assignment to the applicable work package element of cost category. For example, if you define a labor work package, only assign labor resources to that work package. If you define a material work package, only assign material resources to that work package.

  7. Select Budget from the Cost Code from the dropdown. Project settings (Manage Projects, Cost Codes tab) determine the available dropdown selections.
  8. Optional. This step only applies when you have assigned more than one rate group to a result for the resource in the project's resource structure. For example, this may apply to a labor resource where a different rate may apply depending on their location. An additional pane displays for applicable Result. Select the Rate Group to use for result calculations from the dropdown.
  9. Click Save in the Ribbon Menu or use the Ctrl + S shortcut.
